📸 Photography & Media Release Statement

1. Purpose & Scope

RenLUG (Renaissance LEGO® User Group) participates in public events, community exhibitions, meetings, and outreach activities where photographs and video recordings may be taken. This release governs how RenLUG may use images of members and member-created works.

This release applies to:

• All in-person RenLUG events, meetings, and activities
• Public exhibitions, conventions, and community outreach
• Digital and print materials produced by or on behalf of RenLUG
• All LEGO® builds, MOCs, dioramas, and creative works displayed or contributed during RenLUG activities

2. Member Acknowledgments

By participating in RenLUG meetings or events, members acknowledge and agree that:

• Photographs and/or video footage may be taken that include their image, likeness, voice, and/or LEGO® creations
• RenLUG may use these images and recordings for promotional, educational, and marketing purposes, including but not limited to social media, websites, newsletters, print materials, media coverage, and event advertising
• No compensation will be provided for such use
• Images will be used in a respectful and appropriate manner consistent with RenLUG’s mission and community standards
• Member first names may be included for attribution unless the member requests otherwise
• RenLUG will never sell these materials or use them in a misleading context

3. Grant of Permission

By submitting the RenLUG membership application form, the member does hereby grant permission to RenLUG, its representatives, affiliates, and authorized media partners covering RenLUG events in an official capacity to:

• Photograph, video record, and/or otherwise capture their image, likeness, and any works they display or contribute to during RenLUG activities, including public and private events
• Use those images and recordings for promotional purposes including: social media (Facebook, Instagram, YouTube), RenLUG’s website and newsletters, press releases and public outreach, and event and sponsorship materials

This release grants RenLUG a limited license to use documented images of member creative works for organizational purposes as described above. It does not transfer ownership or copyright. Members retain full copyright ownership of their original creative works at all times.

4. Copyright & Member Creative Works

RenLUG respects the intellectual property rights of its members. The following principles govern the use of member-created works:

Member Ownership:
Members retain full copyright ownership of all original creative works including MOCs, dioramas, builds, and LEGO® designs. Membership in RenLUG does not transfer or license these rights to the organization beyond the limited scope described in this release.

Limited License Only:
This release grants RenLUG a limited, non-exclusive, royalty-free license to photograph and use images of displayed works for organizational promotional purposes. This license does not permit sale, sublicensing, or use outside RenLUG’s organizational mission.

Attribution:
RenLUG will credit member builders by name or preferred handle when using images of their creative works, unless the member requests otherwise.

No Assumption of Consent:
RenLUG will not assume that publicly displaying a build constitutes consent for its use in advertising or print materials beyond event documentation. This release provides that consent formally and transparently.

5. Withdrawal of Consent

RenLUG is committed to honoring member creative rights. Members may withdraw consent for future use of their image or creative works at any time.

How to Request Withdrawal

Contact RenLUG at renluginfo@gmail.org with the subject line “Media Consent Withdrawal.” Please include:

• Your name and membership information
• A description of the specific image(s) or work(s) you wish removed
• The materials or platforms where you have seen them used (if known)

What Happens After a Request

• RenLUG will acknowledge receipt of your request promptly
• Future use of the identified materials will cease immediately upon acknowledgement
• Previously published materials will be updated or removed as reasonably practicable
• Print materials already in circulation (e.g., previously distributed postcards) cannot be recalled but will not be reprinted featuring the withdrawn content

Members who contributed work to RenLUG materials prior to completing this form and who wish to limit or withdraw that use are encouraged to contact us at contact@renlug.org. We will respond promptly and honor all reasonable requests.

6. Collaborative Works

When multiple members contribute to a shared or collaborative build:

• Each contributing member’s consent under this release covers their individual contributions
• RenLUG will use images of collaborative works in a manner respectful of all contributors
• Where practical, RenLUG will credit all named contributors to a collaborative build
• Any contributor to a collaborative work may request withdrawal of their individual contribution’s use following the process in Section 5

7. RenLUG’s Commitments to Members

RenLUG makes the following commitments in connection with this release:


We Will

• ✓ Use images respectfully and appropriately
• ✓ Credit builders when using their work
• ✓ Honor withdrawal requests promptly
• ✓ Retain no ownership of member creative works
• ✓ Update materials when consent is withdrawn
  

We Will Never

• ✗ Sell member images or creative works
• ✗ Use materials in a misleading context
• ✗ Assume public display equals advertising consent
• ✗ Transfer or sublicense member IP to third parties
• ✗ Use member work outside RenLUG’s mission scope

8. Consent Statement

By submitting the RenLUG membership application, the applicant confirms:

• They have read and understand this Photography & Media Release Statement
• They grant RenLUG the limited license described in Sections 3 and 4 above
• They understand they retain full copyright ownership of their original creative works
• They understand how to withdraw consent as described in Section 5
• All information provided in their membership application is accurate to the best of their knowledge

Members who attend their first in-person event gain access to our private Discord community, where builders share WIPs, coordinate projects, and stay connected between meetings.
