How to Invite RenLUG for Your Event

Would you like RenLUG to come participate or display at an upcoming event? Simply fill out this form to let us know all the details. We look forward to reviewing your submission and discussing the potential collaboration further. While we strive to meet as many requests as possible, please understand that due to prior commitments or limited availability, we may not be able to accommodate every request.

Considerations for RenLUG Participation at Events

RenLUG is unable to support all event requests. Please don’t take it personally. There are numerous factors that determine whether or not we can support an event.

  1. LEGO® models used in RenLUG displays are part of member’s personal collections. It is personal property, and therefore, security considerations to protect that property is of the utmost importance for our appearance at LEGO® related events. Some of the LEGO® builds in our display library we have costs upwards of several thousand dollars.
  2. It takes time to build an original new or custom build – LOTS OF TIME! From concept, design, ordering parts, iterations, final build and figuring out transport containers – it all adds up. If you have an event that you would like RenLUG to attend, PLEASE, reach out early, so that our members have time to plan and request the needed time off work to attend. This is especially important if you would like a build representing a custom theme.
  3. Previous commitments. It’s normally not possible for us to be in two places at once. Reaching out to RenLUG well in advance of your event, increases the likelihood that enough of our LUG members would be available to participate.
  4. Location. Location. Location. RenLUG is generally active in just three counties – Seminole, Orange and Lake. If your event is in a different county, we may be able to put you in touch with other groups and individuals who may be able to support your event with their own builds and members.

Considerations for Event Hosts

  1. Indoor venues are preferred. Occasionally, we may be able to accomodate an outside venue for single day events. Dependant on weather conditions!
  2. Tables. When a host can provide tables. We can work with you to determine the amount of table space needed. Our typical layouts are designed for one of these table sizes (often doubled up on the long edge): 30″x60″, 30″x72″, 30″x96″.
  3. Table cloths are highly recommended, ideally floor length ones. These take the focus off the tables (and the transport containers hidden underneath) and brings it up to the LEGO® displays.
  4. Stanchions or other barriers at events to prevent unintended table bumps resulting in rapid advanced deconstruction of our LEGO® models or pieces going missing. A secure display cabinet is needed for installation projects that remain onsite for a period of time at businesses.

At RenLUG, we are committed to fostering a sense of inclusivity, knowledge sharing, and community engagement.

Through our participation and displays at events, we aim to inspire and educate attendees about the world of LEGO®, while also showcasing the talents, creativity and expertise of our members.

Thank you once again for considering RenLUG for your upcoming event. We look forward to reviewing your submission and discussing the potential collaboration further. Together, let’s make your event a memorable and enriching experience for all involved!

RenLUG is committed to presenting a clean, professional, and polished display at your event. While we can provide our own display tables, tablecloths, signs, and stanchions if necessary, transporting these items often involves additional costs, which we typically request the event host to cover.
