RenLUG Membership Policy and Engagement Guide

RenLUG is a nonprofit LEGO User Group dedicated to celebrating LEGO art, innovation, and community collaboration. This document outlines the expectations, benefits, and engagement guidelines for members to ensure our group remains active, inclusive, and vibrant.

1. Membership Categories

RenLUG welcomes and values ALL members – whether Fully Participating (Active), Casual (Supporting), or Alumni. Each plays a meaningful role in our vibrant community and helps shape the future of our group.

RenLUG currently uses the following categories to track engagement:

  • Fully Participating Members (Active Members): Members who have attended at least 6 monthly meetings and 3 additional events in the past 12 months. These members are eligible for full benefits, including access to the active members only Discord group with event planning and hosting opportunities available to them.
  • Casual Members (Supporting Members): Individuals who have attended at least 1 meeting and 1 additional event in the past 24 months. May access limited benefits and join public discussions.
  • Alumni: Former active members who have stepped back but remain in good standing. Honored for their past contributions and may return to active status anytime.

2. Engagement Expectations

To retain Fully Participating (Active) Member status, members are expected to:

  • Attend a minimum of 6 monthly meetings and 3 additional events per year
  • Communicate respectfully and contribute positively to group discussions and activities
  • Participate in at least one of the following annually:
    • Exhibit a build at a show
    • Volunteer at a community event
    • Contribute to planning or logistics

3. Membership Maintenance and Review

  • RenLUG’s Membership Status Review occurs twice a year (January and July) to ensure accuracy and engagement tracking.
  • Members who have not met the thresholds may be reclassified into “Casual” or “Alumni” categories.
  • Deceased or unreachable members will be respectfully removed from active listings to maintain accurate records.

4. Member Benefits

  • Access to the RenLUG Discord group, event planning and hosting opportunities, outpost leadership consideration (Fully Participating Members only)
  • Participation in private forums and planning groups
  • Priority access to limited-space events and travel opportunities
  • Recognition in group media, newsletters, and showcases (if desired)

5. Photo and MOC Consent Policy

RenLUG respects member rights to control how their likeness and creations are used:

  • Members may opt out of photo/video publication of themselves.
  • Members may opt out of having photos of their MOCs used in promotional materials.
  • A “Limited Consent” option is available for event-specific approvals.

6. New Member Onboarding

New members will:

  • Receive a welcome packet with this policy and upcoming events
  • Be paired with a current member for Q&A
  • Have the opportunity to introduce themselves and their interests

7. Upholding RenLUG Values

RenLUG strives to be inclusive, respectful, and community-driven. Discrimination, harassment, or exclusion of any kind will not be tolerated. All members are expected to uphold these standards.
